Project Manager
JOB TITLE: Future of Yarram Project Manager
JOB TYPE: Full-time, 38 hours per week, Fixed Term Contract until 31 August 2026
LOCATION: Yarram Office, 243 Commercial Road
ORGANISATIONAL RELATIONSHIPS:
Reports to: President, Yarram & District Progress Association
Supervises: Administration Support Officer
Internal Liaisons: Y&DPA Executive Team and Association Members
External Liaisons:
· Members of the community
· Community organisations and service providers
· Local businesses
· Local, State and Federal government departments
· Relevant agencies
· Other local Gippsland municipalities and Councilors
· Specialist consultants and Subject Matter Experts
PURPOSE OF ROLE
The Future of Yarram Project Manager is employed by Yarram & District Progress Association (Y&DPA), reporting to the Y&DPA President, and responsible for leading the Administration Support Officer. The Project Manager provides project management leadership and support to oversee and co-ordinate the implementation of the Future of Yarram Local Development Strategy which now exists within the community.
The purpose of the Project Manager role is to:
· Lead and co-ordinate the implementation of the innovation opportunities through each of the six (6) Innovation Working Groups (IWG) established via the Local Development Strategy program over the past two years
· Drive to completion all Future of Yarram IWG projects on time and within budget
· Manage secretariat support to each IWG established through the Local Development Strategy program for their ongoing meetings, research, reports and activities
· Support each IWG to undertake the activities required to implement the innovation opportunity before the end of July 2026
· Convene community meetings and keep the community up to date on the progress of each innovation opportunity
· Lead the development of a communications strategy and communications collateral for the implementation of the innovation opportunities
· Seek future funding opportunities for the ongoing support of the Y&DPA Coworking Space facility and services, and to each of the Local Development Strategy projects, in order to give life after the current ‘Future of Yarram’ project completion.
Additionally, the manager is responsible for the efficient and effective use of the Y&DPA Coworking Space and oversight of the new Yarram University Study Hub.
PROJECT MANAGEMENT
Be accountable for the successful delivery and completion of the projects/sub-projects within resource, timeline and budget parameters. Undertake monitoring and evaluation. Prepare communication products and reports consistent with the project vision and strategy. Manage risks and escalate issues as they arise.
STAKEHOLDER ENGAGEMENT AND COLLABORATION
Build and maintain positive relationships with key stakeholders to facilitate a partnership approach. Design and maintain engagement plans and communication strategies. Initiate and manage negotiations with peers to gain commitment to activities and agreements. Work with the Yarram community and other state and local government agencies. Oversee organisation of events and take on hosting duties.
COLLABORATION AND LEARNING
Adopt the Smart Specialisation (S3) ‘way of working’ which includes working collaboratively with industry, government, education/training and community. Support participants to work with the Smart Specialisation approach including inquiry and evidence stages of the work. Work directly with relevant local partners.
RESEARCH
Facilitate the research and analysis required for each stage of development.
INNOVATION AND ADAPTION:
Be innovative, flexible and adaptive when managing relationships, activities and problem solving. Draw on a range of information sources to identify new ways of doing things.
COMMUNICATION
Provide updates and actively participate in a range of governance groups and committees.
QUALIFICATIONS, EXPERIENCE, SKILLS AND KNOWLEDGE
ACCOUNTABILITY & EXTENT OF AUTHORITY
The Y&DPA Project Manager is required to:
· Be accountable for achieving goals, objectives and policies particularly in relation to the Future of Yarram Local Development Strategy Project
· Maintain the confidentiality of all matters concerning the Local Development Strategy project work, strategic priorities and engagement
· Liaise closely with Y&DPA and all relevant government departments and agencies and community organisations to ensure agreed outcomes are achieved
· Provide support and advice to the development and implementation of associated projects / activities
· Work within Y&DPA policies and procedures at all times

· Ability to appropriately engage with discretion and sensitivity concerning the Local Development Strategy project work

SPECIALIST KNOWLEDGE & SKILLS
· Demonstrated project management skills including ability to manage multiple projects concurrently
· Experience and understanding of Government legislation, community transition issues, sensitivities and development principles.
· Strong business acumen with ability to develop strategic reports, action plans and progress reports.
· Excellent facilitation and negotiation skills
· Excellent communication and stakeholder engagement skills
· Sound working knowledge of the Microsoft Office suite of programs
· Proven experience in report writing and the delivery of presentations
· Effective budgeting knowledge and skills, including preparation of grant applications

QUALIFICATIONS AND EXPERIENCE
· Tertiary qualifications with relevant experience in Social Planning and Issues, Community Development or similar demonstrating 5+ years working experience preferred
· Proven experience supporting and/or working with volunteers
· Strong skills in project management
· Proven ability to work collaboratively with multiple stakeholders
· Experience in the collation and management of data
· Experience in staff Leadership
· Very competent IT skills
· Demonstrated skills in policy, procedural, process and specification development
The ability to obtain and maintain the following qualifications, registrations, certifications:
· Current Victorian drivers license
· Police Check
· Working With Children Check
· First Aid Certificate would be advantageous, but not essential

Administrative Assistant
JOB TITLE: Administration Support Officer
JOB TYPE: Part-time, 23 hours per week, Fixed Term Contract until 31 August 2026

POSITION OBJECTIVE
The Administration Support Officer, Future of Yarram Local Development Strategy is responsible for providing support and assistance to the Future of Yarram Local Development Strategy Project Officer and Yarram & District Progress Association.
ORGANISATIONAL RELATIONSHIPS
Reports to Yarram Local Development Strategy Project Manager
Supervises NIL
Internal Liaisons Yarram & District Progress Association Volunteers and LDS Working Groups
External Liaisons The Yarram and District community. Timber industry stakeholders, State and Federal Government personnel, Wellington Shire Council and other Gippsland Municipalities, Event Organisers
QUALIFICATIONS, EXPERIENCE, SKILLS AND KNOWLEDGE

· Responsible for providing general office support to the Future of Yarram Local Development Project and the Project Manager
· Accountable for maintaining the confidentiality of all matters concerning the Future of Yarram Local Development Strategy project work, strategic priorities and engagement
· Managing and preparing correspondence for the Future of Yarram Local Development Strategy team
· Representing and maintaining relationships on behalf of the Future of Yarram Local Development Strategy team and others
· Supporting the Yarram & District Progress Association with administrative and marketing activities as required from time to time

POSITION SPECIFIC RESPONSIBILITIES
· Ability to coordinate and prioritise the Future of Yarram Local Development Strategy Team’s appointment schedule with internal and external stakeholders to ensure timeframes and priorities are met
· Prepare agendas and/or meeting papers and summaries to ensure the Local Development Strategy Officer is prepared for meetings in accordance with targets and plans
· Provide input and administrative support for the Local Development Strategy team’s strategic Project plans, individual initiative priority plans and progress reports
· Provide administrative support for the ongoing governance of the Local Development Strategy team and endorsed priorities
· Undertake stationery and ad hoc purchasing for the Local Development Strategy team
· Coordinate arrangements for seminars, workshops and conferences to ensure staff are organised and well-resourced
· Undertake special projects, particularly in relation to sensitive or confidential matters to assist others in the organisation
· Provide general administrative support for the Yarram & District Progress Association including but not limited to minute taking, responding to email enquiries, supporting marketing and social media communications activities
